To make sure your Spektrix system syncs properly with crowdEngage, we need you to set up a few items in Spektrix:
IP Restriction Management (if necessary)
Scanned Tickets Report Schedule
API Account Setup
You will need to create a new API user. In the Settings interface, navigate to the Users menu and click on API Users. Click the New API Account button and fill in the details as follows:

After these fields have been completed as above (include capitalisation), click Create API Account.
Future Orders Backfill CSV
Once the events start pulling through to crowdEngage we will also need to upload a backfill csv. This is because crowdEngage pulls through all new orders but there we need to fill the gap for all orders placed before the sync.
- Please send a csv of all future order IDs to your client success rep in charge of your onboarding or support@crowdengage.com.
- This is an accounting report. for all future orders with only one output column which is Order ID.
- Please de-duplicate if possible.
Seat attributes
Seat attributes are often used to print door/entrance letters or numbers on tickets. In order to display this information on your mobile tickets, you'll need to ensure that your seat attributes are available via the Spektrix API.
In the Settings interface, head to Attribute Templates and then select Seat on the left-hand side menu. Go through all of the attribute templates you use for door information, and make sure they have This attribute is visible in your API integrations checked.
IP Restrictions
If your system has IP restrictions enabled, you'll need to add the crowdEngage IP addresses in order to allow access. In the Settings interface, hover over the Configuration menu option at the top, and then select Security. If the Security menu option isn't displayed, your system does not have IP restrictions enabled and you can skip this step.
Click the New Authorised IP Address button and fill out the form with the following details:

Note that if the crowdEngage IP addresses change, you'll need to update this setting - we'll get in touch to let you know if this is required.
Ticket Scanning
Create an Insights & Mailings User
If you want to use ticket scanning with crowdEngage we will also need to be added as an Insights and Mailings user so we can set up the reports we need to pull the data.
In the Settings interface, navigate to the Users menu and click on User Accounts. Click the New User Account button and fill in the details as follows:

Send the password you selected for the Insights & Mailings user to the crowdEngage support team. We'll change it and store it securely.
If you'd like to restrict the Insights & Mailings user's access, you can remove all the roles apart from Collect Report after crowdEngage has completed the initial setup. Please note that the roles may need to be temporarily reinstated in the future if adjustments are required.
Create the Scanned Tickets report
Navigate to the Inisghts & Mailings interface. On the Reporting page, click New Report in the bottom-right corner. Create a Sales report with the following information:

Click Next. On the Criteria screen, click the '+' sign to expand the Seats criteria block and drag Seat status into the Drop criteria here... box. In the Seat status criteria box, make sure that Scanned is the only seat criteria that is ticked.
Then, click the '+' sign to expand the Event instances criteria block and drag Start date into the Drop to add criteria box. In the Start date criteria box, set the start date to Today.Then click Next.
On the Columns screen, untick the box labeled Only show commonly used columns. Then click the '+' sign to expand the Tickets / Reservations block and drag Barcode into the dotted box underneath Output Columns. Then click the '+' sign to expand the Ticket Scans block and drag the First Successful Scan Time into the dotted box next to Barcode. Click on Ok.
Schedule the Scanned Tickets report
Navigate to the Insights & Mailings interface. On the Report Schedules page, click on + Add. Create a new report schedule with the following information:

All other items can be left alone. Click on Next. On the Reports page, click + Add Report. Search for the report your just created by typing crowdEngage into the search box. Click on the '+' sign net to the crowdEngage - scanned tickets report and then click Select this report and criteria set. Schedule this report using the following information:

Click on Next and Ok. This report has now been scheduled. Please let the crowdEngage success team know once this process is done so that we can finalize the scanned ticket sync.
